Court Records covers case information, while Official Records includes recorded documents such as deeds, mortgages, liens and judgments. Other Clerk-held material may require a public-record request. Choosing the branch first produces a result that is easier to interpret and verify.
Start from the evidence type, then keep the case number or recording identifier returned by the Clerk.
For a Palm Beach County public records search, choose the Clerk system by record type: Court Records for cases, Official Records for recorded documents, and the Clerk public-record request process for other Clerk-held material not available through direct online lookup.
| Target | Search/request path | Identifier to preserve |
|---|---|---|
| Civil, criminal or traffic case | Court Records | Case number and parties |
| Deed, mortgage, lien or recorded judgment | Official Records | Instrument/book-page and names |
| Other Clerk administrative record | Public Records Request | Request scope and response reference |
| Related case and property document | Search both systems independently | Case key plus recording key |
The Search Records page does not present one generic people index. It separates Court Records from Official Records, which means the research question should be classified before a name is entered. A case result and a recorded-document result may share parties, but they represent different government records.
Official Records contains the recording side of the Clerk's work, including property instruments and other documents accepted for recording. A useful result keeps the instrument number, book/page or another recording reference, plus the party names needed to reproduce the search.
Court Records should remain attached to a case number and case context. Even when a judgment also appears in Official Records, the court case and the recorded instrument are separate evidence objects and should be cited from their own systems.
The Public Records Requests page covers Clerk records for which a direct public lookup is not the correct access method. Before sending a request, note which direct searches were checked and describe the specific office record that remains missing.
A disciplined Palm Beach County workflow therefore moves from classification to lookup and only then to request. That order reduces unnecessary requests and keeps the final evidence trail anchored to official identifiers rather than a generic name match.
Keep case number and parties.
Retain instrument or book-page information.
Save request scope and response reference.
